About the opportunity:
Coordinates the daily operations, guest services, and program activities at Jack’s Place (Cancer Caring House), ensuring a welcoming and compassionate experience for patients and their families. Supports survivorship and community programs, event coordination, and business functions in collaboration with the Shaw Cancer Center leadership team. Provides administrative support to departmental leadership.
What you will do:
- Coordinate and oversee day-to-day operations of Jack’s Place, ensuring smooth guest check-in/check-out, comfort, and safety.
- Act as primary contact for urgent guest needs, on-call issues, and facility matters.
- Support survivorship and integrative care services including massage and acupuncture scheduling, class coordination, collaboration with instructors, invoice management, and event planning.
- Coordinate and track the planning, implementation, and evaluation of projects associated with both the Shaw Cancer Center and the Cancer Caring House’s goals, needs, and functions.
- Provide administrative support to the VP of Oncology and oncology department leadership including calendar management, meeting planning, and documentation. Coordinate employee events and recognition efforts in partnership with leadership team.
- Support medical directors’ administrative calendars and coordinate provider outof-office calendars and requisite locum provider coverage logistics including Medical Staff Credentialing.
- Create communication materials, presentations, and internal updates to support both Shaw Cancer Center, Ancillary Departments (Pharmacy, Laboratory, Imaging) and Jack’s Place programs and initiatives.
- Assist with tracking the Shaw Cancer Center and Jack’s Place budgets and processing invoices and purchase orders.
- Serve as a liaison between departments (e.g., marketing, Foundation, IT, executive assistants) to support initiatives and ensure timely project completion.
- Promote an atmosphere of warmth, compassion, and understanding while demonstrating empathy and the ability to relate to families in crisis.

- Perform other duties as assigned. Must be HIPAA compliant.

What you will need:
Experience:
- Excellent interpersonal skills with the ability to empathize and work with individuals in crisis.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Strong organizational, time management, and written communication skills.
- Ability to manage multiple tasks while maintaining high attention to detail.
- 3 years guest relations or hospitality experience preferred.
- 1 year administrative, executive assistant, or project coordination experience preferred.

Pay is based upon relevant education and experience per hour.
Hourly Pay:
$31.82—$43.90 USD
